HR and payroll software in Jordan: what to check
Payroll is where mistakes cost the most: wrong deductions, late salaries and disputes with staff. This checklist covers what HR and payroll software should handle, what to ask each vendor, and how to make the change safely.
Employee records
- Personal details and contract terms, with documents stored securely
- Start and end dates, job titles, departments and reporting lines
- Leave balances and a history of approvals
- Attendance or shift records, where your business uses them
- Reminders before document expiry dates, such as work permits
What a payroll run must calculate
A payroll run should calculate basic pay, allowances, overtime, leave and, where it applies, end-of-service entitlements. It should also apply every statutory deduction for each employee. In Jordan that includes income tax and social security contributions. For employees in the UAE, check pension contributions and end-of-service calculations.
Ask the vendor which rules are built in for each country, and how changes to those rules reach your system. A payroll that is right today can be wrong after the next change, so ask for a dated history of updates.
Payslips and bank files
- Payslips in Arabic and English, with every line explained
- Bank transfer files in the format your bank accepts
- A WPS file for salary payments in the UAE, where your bank requires one
- Reports for management and for the authorities, in the format they ask for
Access, privacy and records
- Role-based access, so only authorised staff can see salaries
- An audit log of every change to pay rates and allowances
- A full export of employee data if you leave the system
- Clear answers on where the data is hosted, and how backups are tested
Questions for every vendor
- Does payroll post to the same ledger as accounting, or does it need a separate export?
- How are statutory changes applied, and will you tell us before they take effect?
- Can we run one payroll in parallel before the first live run?
- What happens to leave balances and end-of-service records if we switch?
A safe way to switch
Run one parallel payroll before the first live run. Compare net pay employee by employee, explain every difference, and only then switch. Keep the last payroll from the old system as a record, and reconcile the total to the bank file and the ledger each month.
Where BYTE fits
BYTE includes HR and payroll on the same ledger as accounting. Its payroll packs cover income tax and social security for Jordan, pension contributions and end-of-service for the UAE, and it exports a WPS file for your bank. BYTE is coming soon. Ask us which countries and rules matter for your team, and whether they are ready.
Questions people ask
Do I need separate HR and payroll software?
Not necessarily. Many small and mid-sized businesses run HR and payroll in one system. What matters is that salary costs post to the right ledger accounts and that employee records stay accurate.
Can payroll be run and printed in Arabic?
It should be. Payslips and screens should work in Arabic and English, and you should check that names, job titles and notes can be entered in Arabic.
How often should payroll be checked?
Check every run before payment. Each month, reconcile the total to the bank file and to the ledger.
