What the stock tools cover

  • Receiving: record stock as it arrives from a supplier.
  • Counts: count stock and save the result.
  • Transfers: move stock between stock locations.
  • Waste: record stock that is thrown away.
  • Requests: ask for stock from another location.
  • Stock summary: see what you hold, and where.

A practical week

  1. Record each delivery when it arrives.
  2. Count stock on a fixed day, for example every Friday.
  3. Record waste as it happens.
  4. Check the stock summary before you order from a supplier.

An example

Example with made-up numbers. A café receives 20 kg of coffee beans on Monday and records 2 kg thrown away on Wednesday. On Friday the count shows 13 kg. The café used about 5 kg that week, so the numbers match. If the count had shown 10 kg, the 3 kg gap would be the first thing to check.

  • Can stock be counted by item and by location?
  • How does stock follow recipes, and how are prepared items counted?
  • Who can change a count or a waste record, and is the change kept on record?
  • How do I see what to reorder for each item?

Ask us in writing. The full checklist is in the restaurant inventory guide.
